In this role you will coordinate shipments to the Hologic warehouses across the globe. Knowledge on international distribution is required.

You will act as a liaison between the order placing teams and the logistics provider. You will assist in resolving delivery issues, logging complaints in the QMS to keep track of customer impacting and operational issues.

You will ensure the daily operations are confirmed correctly in the system through the EDI link to guarantee a smooth billing process. You will perform daily stock checks in the system to ensure Hologic and 3PL stocks are in sync. You will take care of making all required stock movements needed to maintain correct stock levels. You will make sure returned material will be booked into stock consistently to optimize warehouse operations and return material in due time.

 

For the White Glove deliveries of Capital Equipment, you’re coordinating all the logistical aspects from receipt of the shipping instruction till final delivery of the Equipment. This consists of preparing the shipment in the warehouse, scheduling the carrier and communicating with the Field Service or Customer Service Teams to guarantee on time delivery.

Overview of main tasks:

 

Coordinate and organize shipments to Hologic warehouses across the globe

 

  • Ensure continuity in the replenishment orders (rolling schedule) and close follow up on shipments
  • Respond to shipment/delivery enquiries, advise any potential delays / impact in a timely manner and address resolution with relevant key stakeholders
  • Ensure all procedures and work instructions with country specific requirements are up to date
  • Ensure all logistical requirements are met for international distribution (ordering temperature loggers, specific crating, etc…)

Logistics support for the order placing Teams and interaction with Logistics Provider

  • Check communication between order placing teams  & logistics provider and advise where needed
  • Support the order placing teams on logistical questions, i.e. correct item number, shipping methods, delivery status of the order, packaging to use
  • Perform critical transactions in the Oracle system
  • cancellation/backordering deliveries released to the 3PL warehouse, release orders outside scheduled batch releases in case of urgency,…
  • Log operational issues of the logistics provider in the Quality Management system & follow up
  • Follow up on collections
  • Request approval for high cost deliveries

Coordinate White Glove service of Capital Equipment deliveries

Follow-up of all White Glove deliveries through 3PL and White Glove carrier

  • Communication with all parties to plan the delivery
  • Prepare shipment in the warehouse on time
  • Follow-up on shipment pick up & on time delivery
  • Communication with Logistics Providers on Instrument or Shipping Crate returns

Stock synchronization of inventory levels through EDI link:

• Daily review of stock discrepancies between Hologic and Logistics Provider systems

  • Create/update list
  • Investigate and assign owner
  • Follow-up discrepancies are resolved in due time
  • Quarterly sign off by Manager

• Daily review of shipping confirmation file

  • Resolve transactional issues if any
  • Check all deliveries are successfully confirmed in the system
  • Quarterly sign off by Manager

• Transactional support between Hologic and Logistics Provider systems

  • Receipt confirmation of returns in the system
  • Change lot number in case of short expiry date
  • Cycle count corrections
  • Stock corrections  (product damage in warehouse, missing items,…)
  • Keep inventory locations (TBD) clean

QUALIFICATIONS 

- Strong and flexible work ethic, excellent organizational and communication skills with close attention to detail, reliable, responsible and punctual;

- Ability to work in a fast paced, high pressure environment;

- Ability to cooperate with others on multiple work assignments to achieve team goals;

- Excellent ability to prioritize and organize.

EDUCATION AND EXPERIENCE

- Bachelor degree and/or knowledge through a minimum of 3 years of logistics work experience, preferably in an international and healthcare industry environment;

- Fluent in English and Dutch or French;

- Knowledge of MS office (Outlook, Word and Excel) application is required;

- Working knowledge of CRM systems; e.g. Oracle, SAP, Siebel
